Part-Time Administrative Assistant


This position is responsible for providing technical assistance and customer service for the Mountain Campus in Ellijay.

Major Duties

Provides administrative support to the Mountain Campus.

  • Schedules tests and proctors’ tests such as SAT, Accuplacer, and Accuplacer Post
  • Coordinates and proctors eCore (and other) testing; coordinates with Testing Center to proctor when available
  • Schedules appointments and maintains calendars.
  • Assists faculty with copies or any other needs.
  • Assists with student activities.
  • Writes and distributes correspondence, news, and information
  • Promotes Dalton State College in the community.
  • Performs related duties.

Assists incoming, prospective, and current students.

  • Assists incoming students with campus tours, admissions, and registration information.
  • Forwards documents of potential students to enrollment services.
  • Schedules financial aid assistance appointments.

Provides administrative support for office operations.

  • Answers telephone and greets visitors; provides information and assistance; takes messages; refers to appropriate personnel.
  • Processes incoming and outgoing mail.
  • Coordinates the maintenance of office equipment.
  • Calculates monthly copier reports for invoicing.
  • Coordinates tech maintenance with OCIS
  • Maintains supply inventory; checks stock to determine inventory level.

Knowledge, Skills, and Abilities and/or Competencies Required by the Position

  • Knowledge of modern office practices and procedures.
  • Knowledge of college and departmental policies and procedures.
  • Knowledge of business English, spelling, punctuation and arithmetic.
  • Knowledge of computers and job-related software programs.
  • Skill in prioritizing and organizing work.
  • Skill in decision making and problem solving.
  • Skill in interpersonal relations and in dealing with the public
  • Skill in the management of files and records.
  • Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.
  • Skill in oral and written communication

Supervisory Controls

The Coordinator of the Mountain Campus assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

Guidelines

Guidelines include FERPA, USG policies and procedures, Code of Ethics, IT security policies, Dalton State College Policies and Procedures. These guidelines are generally clear and specific but may require some interpretation in application.

Complexity/Scope of Work

  • The work consists of related clerical duties. A large number of students needing assistance contributes to the complexity of the position.
  • The purpose of this position is to assist students and the coordinator at the Mountain Campus. Successful performance helps ensure students are able to  succeed at the College.

Contacts

  • Contacts are typically with students, faculty, admissions, business services, enrollment services, financial aid, testing center, office of computing/information services, registrar, disability access, public safety, bookstore, Roadrunner card services, human resources, and student life.
  • Contacts are typically to provide services; to give or exchange information; and to resolve problems.

Physical Demands/Work Environment

  • The work is typically performed while sitting at a desk or table. The employee occasionally lifts light objects.
  • The work is typically performed in an office, library, or computer room.

Minimum Qualifications

  • Associate's degree required or equivalent experience.

Preferred Qualifications

  • Baccalaureate degree preferred.
  • More than three years of related experience preferred
